At BPS Designs, we are committed to protecting the privacy and security of our customers’ data. This policy explains how and when we may access a customer account within our SaaS platform.

Who Can Access Customer Accounts?

Only the Company Owner has the technical ability to log in as a customer user.

• No employees, contractors, or support staff can access accounts in this way.
• This access cannot be delegated.

When Would We Access an Account?

We will only access a customer account when necessary, such as:

• At your request (for troubleshooting or support)
• To investigate a technical issue
• To investigate a suspected security incident
• To carry out essential maintenance where account-level access is required

Where possible, we will inform you before accessing your account. In urgent cases (such as security concerns), we may inform you afterwards.

What Happens When We Log In?

If access is required:

• We log in as the specific user account.
• We inherit exactly the same permissions as that user.
• We do not gain elevated or additional access rights within your environment.
• We only access what is necessary to resolve the issue.

“Login-as” sessions are not separately logged. However, this capability is restricted to the Company Owner and governed by strict confidentiality obligations and UK GDPR requirements.

How We Protect Your Data

Any data viewed during access is treated as strictly confidential.

We do not:

• Use customer data for marketing or profiling
• Share data with third parties unless legally required
• Extract or retain data unless necessary to resolve the issue

We act as a Data Processor under UK GDPR and process customer data only in accordance with our contractual obligations.
